Please read the following Vendor Booth Details carefully before submitting your registration.
No food vendors are allowed, as per our contract with the venue owner.

Exhibitor Requirements
To ensure a smooth setup and a consistent experience for all participants:
Each exhibitor is responsible for bringing one 6-foot table and up to two chairs.
Displays, signage, or standees are permitted but must fit within your assigned booth space.
Please be mindful not to encroach on neighboring booths or shared pathways.

Exhibitor Schedule
Setup Access Begins: 11:00 AM on event day
Event Hours: 11:00 AM – 6:00 PM
Teardown Deadline: Booths must be fully cleared by 6:00 PM
Early setup is not permitted. Please plan accordingly.

Registration Fee & Booth Assignment
The exhibitor registration fee is $200.
Booth reservations are confirmed only upon receipt of full payment.
Booth locations are assigned on a first-come, first-served basis.
All booth spaces offer equal visibility within the venue.
Please note that all registration fees are non-refundable.

Reservation Policy
The organizer reserves the right to reject any reservation and to refund the booking fee in full without naming any reasons. Any booking is only valid after it is confirmed by the organizer, and payments are made in full and on time.

Liability
Carolina Tamil Sangam is not responsible for any accidents or incidents that occur while vendors, volunteers, or patrons are on the exposition floor. In addition, Carolina Tamil Sangam assumes no liability or responsibility for any effects small business vendor products may have on patrons. Each vendor holds responsibility and liability for their own products and product effects.

Cancellation
In the event of a proven accident, strike, epidemic, an act of God, or any other legitimate condition or occurrence beyond their respective control, the Carolina Tamil Sangam event will be rescheduled for a date to be determined. If this event is canceled by Carolina Tamil Sangam, this contract is null and void, and vendors will receive a full refund.

Recording Permission
By submitting the registration form, you agree and give your permission for Carolina Tamil Sangam and/or partners to record, film, photograph, audiotape, or videotape yourself (hereinafter collectively referred to as “Works”) and to display, publish, or distribute these Works for the purpose of publishing, posting on the Carolina Tamil Sangam website, and posting on social media sites. You hereby waive any right to approve the use of these Works now or in the future, whether the use is known to you or unknown, and you waive any right to any royalties related to the use of these Works. You understand that the Works may appear in electronic form on the internet or in any other publications outside the Carolina Tamil Sangam’s control. You agree that you will not hold the Carolina Tamil Sangam responsible for any harm that may arise from such unauthorized reproduction.
